Power Apps Delegation Warning: What It Means and How to Fix It

The delegation warning is easy to ignore because everything looks fine in testing. Then the list grows past a few hundred items and records quietly go missing from galleries and searches.

What delegation means

When a formula is delegable, Power Apps asks the data source (SharePoint, Dataverse, SQL) to do the filtering and sends back only the results. When it isn't, Power Apps downloads only the first batch of rows and filters those on the device.

That batch size is the data row limit: 500 by default, up to 2,000 in Settings. Anything beyond it is never checked, which is why records go missing without an error.

Common causes with SharePoint

  • Search(): not delegable with SharePoint.
  • The in operator, used for 'contains' checks.
  • Functions inside a filter, such as Len(), Lower() or calculations on columns.
  • Aggregate functions like CountRows() and Sum() over a whole list.
  • Filtering on complex columns, such as some lookup and person fields.

Simple comparisons (=, <, >), StartsWith(), And, Or and sorting on simple columns delegate with SharePoint.

How to fix it

  1. Swap Search() for a delegable filter, for example StartsWith(Title, SearchBox.Text).
  2. Filter first with a delegable condition that brings results under the row limit, then apply the non-delegable part to that smaller set.
  3. Store values you need to filter on in simple columns, such as a text copy of a status or a number for a year.
  4. Index the SharePoint columns you filter on, especially once the list approaches 5,000 items.
  5. For large or complex data, move to Dataverse, which delegates far more functions.
