SharePoint List View Threshold (5,000 Items): How to Fix It
A SharePoint list can hold millions of items, so why does it break at 5,000? The limit isn't on how many items you store but on how many a single view or query can process at once.
What the threshold is
The list view threshold is 5,000 items per operation. In SharePoint Online it can't be raised. Views, filters, sorts and queries from Power Automate or Power Apps that need to scan more than 5,000 items at once can fail.
Fix 1: index the columns you filter and sort on
Go to List settings, then Indexed columns, and add an index for each column your views filter or sort by, such as Status, Created or Department. A list can have up to 20 indexes.
Add indexes early. Indexing a column on a list that's already very large can be blocked or slow.
Fix 2: filter views on indexed columns first
Make the first filter in each view use an indexed column and return fewer than 5,000 items, for example Status equals Active, or Created in the last 90 days. Then sort and group within that.
Fix 3: archive old items
If most items are historical, move closed items to an archive list with a scheduled Power Automate flow. The working list stays fast and the history is still searchable.
Flows and apps hitting the limit
In Power Automate, use a Filter Query on an indexed column in 'Get items'. In Power Apps, filter on indexed columns with delegable formulas. Both then work no matter how big the list grows.
